The GDPR Renewal Automation feature in Recrubo allows you to automatically notify candidates when their GDPR consent is due for renewal. The process is initiated by defining a trigger on the Legal Ground of a candidate in Carerix , ensuring compliance with GDPR regulations. This guide will walk you through configuring the GDPR renewal automation to streamline the consent renewal process.
GDPR Renewal Overview
The GDPR Renewal Automation page provides an overview of the automation process. This feature ensures candidates are automatically notified when their GDPR consent is due for renewal.

On the right-hand side of the page, you will find a preview of the messages that will be sent to candidates. These messages are fully customizable, allowing you to tailor them to match your organization’s tone and communication style.
Setting Up the Automation
Step 1: Chatbot Language
Begin by selecting the language in which the AI chatbot will communicate with candidates.
Choose the desired language from the dropdown list. This is the language that will be used when the chatbot interacts with candidates and responds to questions. A set of predefined messages is available for each language, which can be customized later in the edit screen of the automation.

Step 2: Candidate GDPR Status Trigger
Next, define the Candidate GDPR Status Trigger, which determines when the automation will be activated. This can be an already existing status, or you can create a Recrubo specific one.
Choose the legal ground match phase that will activate the automation. When a candidate's legal ground match phase is changed (e.g., "Toestemming verlopen"), the system will automatically notify the candidate that their GDPR consent is due for renewal.

Handling Candidate Responses
The candidate’s legal ground status can be updated based on their response. Any existing legal ground status in Carerix can be used, eliminating the need to create new statuses specifically for Recrubo.
Step 4: Accept Status
Determine the appropriate status if a candidate renews their GDPR consent.
Select the phase to which the candidate’s status should be updated to indicate their consent for GDPR renewal (e.g., "Toestemming").

Step 5: Decline Status
Specify the status if a candidate does not renew their GDPR consent.
Select the phase to which the candidate’s status should be updated to indicate lack of consent for GDPR renewal (e.g., "Geen toestemming").

Customizing Follow-up Messages
Once the automation is configured, you can personalize the follow-up messages that candidates receive.
Step 7: Accept Message
If a candidate agrees to the GDPR renewal, an automated message will be sent. You can personalize the message, and thank them for their consent to the GDPR renewal.

Step 8: Decline Message
If a candidate declines the GDPR renewal, an automated message will be sent. You can personalize the message and notify the candidate that their data will be removed.

Updating the GDPR Renewal automation
If something in your process changes, you can update the parameters of the GDPR Renewal by going to the automation store page and clicking the "Edit" button in the right corner.
